This Privacy Policy explains how Melody Ave Studio ("Company", "we", "us", or "our"), a division of Graphic Web Design, Inc., collects, uses, shares, and protects information obtained from visitors to our websites (including melodyave.com, book.melodyave.com, and invoices.melodyave.com) and from users who book sessions, rent equipment, purchase memberships, or otherwise interact with our services.
By using our websites, booking platform, or services, you acknowledge that you have read and understood this Privacy Policy.
1. Information We Collect
1a. Information Collected Automatically
When you visit our websites or use the booking platform, we automatically collect:
- IP address and approximate geographic location
- Device type, operating system, and browser
- Pages visited, time spent, referring URLs, and click activity
- Booking-flow behavior and session/rental browsing patterns
- Cookies and similar tracking technologies (see Section 5)
1b. Information You Provide
We collect information you voluntarily submit, including:
- Name, stage name or artist name, email address, phone number, and mailing address
- Account registration details for book.melodyave.com (username, password hash, notification preferences)
- Booking information, session preferences, instrumentation, and production requirements
- Payment details (processed by our payment processors; we do not store full credit card numbers on our servers)
- Performance, audition, or event details submitted in connection with gig facilitation or artist-directory listings
- Files, recordings, content, and messages you upload, share, or exchange through the Platform
- Survey responses, support requests, reviews, and feedback
1c. SMS and Mobile Number Data
If you enable SMS notifications (see Section 4), we collect your mobile phone number, your per-category opt-in preferences, the date and time of each consent, and the verification status of the number.
1d. Payment Information
Credit card, debit card, and bank information is transmitted through encrypted (TLS/SSL) connections and processed by PCI-compliant third-party processors. We do not store full payment card numbers on our servers.
1e. Event and Venue Data
Where we are engaged to produce, facilitate, or support an event or rental at an external venue, we may collect and retain the venue address, load-in details, contact personnel, and other logistical information necessary to perform the services.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain our websites, booking platform, and services
- Process reservations, memberships, rentals, invoices, and payments
- Send booking confirmations, reminders, reschedules, and cancellations
- Contact you about your account, sessions, events, rentals, and service changes
- Send marketing communications where you have opted in (and which you may opt out of at any time)
- Facilitate gig-posting, artist-directory, and member-matching features
- Improve website content, booking flow, and user experience
- Customize recommendations and availability alerts for members
- Analyze usage patterns and session demand in aggregate
- Comply with legal obligations, enforce our Terms & Conditions, and protect our rights
3. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties for their marketing purposes.
We may share information in the following limited circumstances:
- Service providers / data processors — third parties that perform services on our behalf (hosting, email delivery, SMS delivery, payment processing, analytics, advertising), bound by contract to use data only for the purposes we direct
- Event collaborators — where you book or participate in a collaborative session, gig, or event, we may share relevant scheduling and contact details with co-participants (other artists, venue contacts, production staff) only to the extent necessary to deliver the service
- Legal and safety — where required by law, subpoena, court order, or to protect our rights, property, or safety or that of others
- Business transfers — in the event of a merger, acquisition, or sale of assets, in which case the successor entity will be bound by this Privacy Policy or provide notice of any material change

4. SMS / Text Message Communications
If you enable SMS notifications on the Melody Ave booking platform at book.melodyave.com or otherwise opt in to text messaging, we collect and store your mobile phone number solely to deliver automated booking and operational messages, including booking confirmations, session reminders, availability alerts, gig/audition notifications, and account or billing alerts.
4a. What We Collect
- Mobile phone number (U.S. numbers only)
- Opt-in preference, stored as a separate flag per notification category on your account
- Date and time you consented for each category
- Verification status (whether you confirmed ownership of the number)
4b. How We Use It
Your phone number is used only to send you transactional SMS messages related to your account and booking activity. We do not use your phone number to send marketing SMS, and we do not share, sell, rent, or otherwise disclose your mobile number or opt-in data to third parties or affiliates for their marketing purposes.
4c. Third-Party Processors
We deliver SMS messages through Twilio, Inc., our SMS service provider, which processes your phone number strictly as a data processor on our behalf. Twilio's privacy practices are described at https://www.twilio.com/legal/privacy.
4d. Opting Out
You can opt out of SMS at any time by replying STOP to any message we send, or by disabling any notification category under Notification Settings at book.melodyave.com. Reply HELP for support, or contact us at [email protected]. Transactional messages required to deliver a booked session (such as a same-day session reminder for an already-confirmed booking) may still be sent where necessary to fulfill the booking.
4e. Message and Data Rates
Message and data rates may apply depending on your mobile carrier and plan. Melody Ave Studio does not charge for these SMS messages; your carrier's standard rates apply.
5. Cookies, Analytics, and Advertising
5a. Cookies
We use cookies and similar technologies to maintain sessions, remember preferences, measure traffic, and deliver relevant content. You can control cookies through your browser settings; disabling cookies may affect booking-platform functionality.
5b. Google Analytics and Google Ads Remarketing
We use Google Analytics to measure website performance and Google Ads remarketing to display advertisements on third-party sites to prior visitors.
Third-party vendors, including Google, use cookies to serve ads based on someone's past visits to our websites. You may adjust ad preferences at the Google Ads Settings page (https://adssettings.google.com/) or opt out of personalized advertising through industry tools such as the Network Advertising Initiative opt-out page.
5c. Meta Pixel and Conversions API
We use the Meta Pixel and Meta Conversions API (provided by Meta Platforms, Inc., the operator of Facebook and Instagram) to measure the effectiveness of our advertising, build custom and lookalike audiences, and deliver remarketing advertisements on Meta properties to prior visitors. This may involve transmitting hashed identifiers (such as hashed email address or phone number), page-view events, and conversion events to Meta.
You may control Meta's use of your data for advertising through your Facebook or Instagram Ad Preferences settings, by using industry opt-out tools, or by declining advertising cookies through our cookie banner where available. 5d. Klaviyo Tracking
Where you interact with Klaviyo-powered signup forms, emails, or tracked links on our websites, Klaviyo may set cookies and collect behavioral data (such as page views and email engagement) on our behalf as a data processor. 6. Email Communications and Preferences
If you receive marketing email from us, you may opt out at any time by clicking the unsubscribe link in any marketing email, by replying to the email with a removal request, or by contacting us via email, phone, or mail. Transactional emails related to your bookings, rentals, invoices, or active services may continue to be sent regardless of marketing preferences.
7. Member Profiles, Artist Directory, and Public Content
Where you choose to list yourself in the Melody Ave artist directory, participate in public gig-matching features, or submit content for event promotion, certain information you provide (such as stage name, photo, genre, bio, and linked social profiles) may be publicly visible. You control which profile fields are public through your account settings, and you may remove or hide your profile at any time.
8. Data Security
We implement commercially reasonable administrative, technical, and physical safeguards to protect information we collect. All payment card and credential transmission uses encrypted (TLS/SSL) connections. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security. Users are responsible for safeguarding their own login credentials as described in our Terms & Conditions.
9. Data Retention
We retain personal information only for as long as necessary to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Account records, booking history, invoices, rental agreements, and related documentation are retained in accordance with our Terms & Conditions. Deleted accounts and associated content are purged consistent with the retention schedule set forth in those Terms.
10. Your Rights
Depending on your jurisdiction, you may have rights regarding your personal information, including the right to:
- Access or request a copy of the personal information we hold about you
- Correct inaccurate information
- Request deletion of your personal information, subject to legal and contractual retention obligations
- Withdraw consent for marketing communications
- Opt out of the sale or sharing of personal information (we do not sell personal information)

11. Children's Privacy
Our services are not directed to children under the age of thirteen (13), and we do not knowingly collect personal information from children under 13. For SMS and account registration, users must be at least eighteen (18) years old and the authorized holder of the mobile number provided. Minors may participate in sessions or events only when booked, supervised, and consented to by a parent or legal guardian who is the account holder.
12. International Users
Our services are operated from the United States. If you access our websites from outside the United States, you acknowledge that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction.
13. Disclaimer of Liability
The Company disclaims liability for direct, indirect, incidental, consequential, or punitive damages arising from use or misuse of our products, services, websites, or information presented on them, to the maximum extent permitted by law.
14. Changes to This Policy
We may update this Privacy Policy from time to time. The most current version is always posted at /privacy-policy/ with an updated effective date. Material changes will be communicated via email or through the booking platform. Continued use of our services after notification constitutes acceptance of the updated policy.
